Privacy notice
Last updated 4 October 2026
This notice explains what happens to the details you send through the contact form on this website, or by email or WhatsApp.
Who we are
The data controller is SW Digital Services Limited.
- Registered in England and Wales, company no. 17178287
- Registered office: 34 Larkin Lane, Kingswood, Hull, England, HU7 3NA
- Email: [email protected]
What we collect
- Your name and email address.
- Your company name, if you give it.
- What you need help with, and your message.
- The date and time you sent it.
To stop spam, the server briefly holds your connection’s IP address in memory to limit how often messages can be sent. It is never written to our records and is discarded once it is no longer needed for that.
Why we use it
We use your details only to read and reply to your message, and to keep a record of the conversation if it leads to work together. We do not add you to a mailing list, and we do not sell or share your details for marketing.
Lawful basis
Our lawful basis under UK GDPR is legitimate interests: responding to people who contact us, and keeping a record of enquiries. We think you would reasonably expect this when you send us a message, and it has very little impact on your privacy.
Who sees it
Your message is stored on our web server and sent to us by email. Our hosting and email providers process it on our behalf, under contract, and may not use it for their own purposes.
If you message us on WhatsApp, WhatsApp’s own privacy policy also applies to that conversation.
How long we keep it
We keep contact form messages for 24 months from when you send them, then delete them. If we go on to work together, the details become part of our business records and are kept for as long as the law requires.
Your rights
You have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct it, or to delete it;
- object to our using it, or ask us to restrict how we use it.
To use any of these rights, or if you have a concern, email [email protected]. We will reply within one month. If you are not happy with our answer, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
